FIRE SAFETY PROCEDURES

​When booking the hall all individuals, organisations or groups running events must take responsibility for and be proficient in the following:

​

  1. Conduct a ‘walk through’ to check all escape routes are clear of obstructions at the start of each let.​

  2. Be able to contact the fire service – have ready access to a mobile phone.​

  3. Be competent in the use of fire extinguishers if it is safe to tackle the fire.​

  4. Be familiar with all fire exit doors (clearly marked by standard signage).​

  5. Inform all group members of fire procedures and the emergency evacuation plan (laminated card with wording should be read out). This should be done at least once per term for regular groups and on every occasion for one off events.​

  6. Be competent with proper fire drill evacuation of the premises and location of Fire Assembly Point.

Regular users should also:

​

  • Keep a register of all attendees

​

  • Regular user-groups should conduct one fire drill per year (please record, in fire record book, the date, time taken to evacuate, and signature of leader).

SMOKE FREE POLICY

Purpose
This policy has been developed to protect all users of the premises owned and operated by W&BCI and to assist in compliance with the Smoking, Health and Social Care (Scotland) Act 2005.

​

Exposure to second-hand smoke, also known as passive smoking, increases the risk of lung cancer, heart disease and other illnesses. Ventilation or separating smokers and non-smokers within the same airspace does not completely stop potentially dangerous exposure.

Policy
It is the policy of W&BCI that all of our premises are smoke-free and all users of the facilities have a right to carry out their business in a smoke-free environment.

Smoking (including electronic cigarettes and vaporisers) is prohibited throughout the entirety of our facilities with no exceptions. This policy applies to employees, members, user groups, lessees and their clients or customers, visitors and contractors.

There are no external areas where the above groups are permitted to smoke.

Appropriate 'No Smoking' signs will be clearly displayed at the entrance to and within each premises.

Non-Compliance
Immediate withdrawal of a let will be implemented if a premises-user does not comply with this policy. Those who do not comply with the smoking law are also liable to a fixed penalty fine and possible criminal prosecution.

What to do if someone ignores the national smoking ban:

The majority of people will respect and comply with the policy/law on smoking. However, it is important that you know what to do if someone does continue to smoke.

  • Draw the person's attention to the 'No Smoking' signs and remind them that they are committing an offence. Politely ask them to stop smoking.

  • Advise the person that it is an offence for you, as the holder of the booking contract, to let anyone smoke on the premises.

  • Explain to them that the W&BCI has a smoke-free policy to ensure a safe environment for all users of the premises.

  • If your warning has been ignored, immediately ask the person to leave the premises.

  • If the person refuses to leave, inform them that, in the interests of all other users of the premises, they have disqualified themselves from taking part in the activities of your group until further notice. You should have a procedure in place, for your own group, to deal with this and this should include conditions upon which the person may be allowed to return.

  • If the person behaves in an unpleasant manner, implement procedures for anti-social/ illegal behaviour. In all cases where physical violence or intimidation is threatened or encountered, seek the assistance of the police.

  • Maintain a record of all such incidents and outcomes.
